The OK Building Summit & Expo is produced by the Oklahoma Home Builders Association, referred herein as “Show Management”. This event is being held at the Grand Casino Hotel & Resort, Shawnee, Oklahoma. The following Rules and Regulations will manage the expo and are made a part of this contract for exhibit space between “Show Management” and person/company “Exhibitor”.

EXHIBITION SHOW HOURS FOR 2024 (subject to change)
Wednesday, October 9, 7:00 am – 5:30 pm
Thursday, October 10, 7:00 am – 2:30 pm

All exhibits must be in place by 9:00 am, October 9 and must remain open during show hours both days. Under no circumstances may dismantling occur before 2:30 pm on Thursday, October 10. All show hours are subject to change as authorized by Show Management.

SET UP INFORMATION 

Exhibitors may set up on Tuesday, October 8, from 9:00 a.m. to 5:00 p.m.  You may unload at the Event Center North Entrance or at the Northwest Grand Event Center doors.  Please let us know if you will need electricity for your booth.

ALLOCATION OF SPACE
No exhibitor may sub-let or share booth space without written consent of Show Management. Deposits are non-refundable, and cancelation of booth space must be received in writing. When applying for space, please indicate 3 booth choices, and Show Management will make every attempt to honor these choices. Standard booth package includes 8’ back drape, 3’ side rails, one 6’ skirted table, and an identification sign.

SPACE ASSIGNMENTS
Show Management reserves the right to move space assignments after that contract has been signed if deemed necessary. Any exhibitor effected by a possible change will be communicated with in advance and every effort will be made to ensure the new space is agreeable to Show Management and exhibitor. All exhibits shall be constructed and arranged so that they do not obstruct the general view or hide other exhibits.

COMBUSTIBLE MATERIALS & FIRE REGULATIONS
All decorations must be flame proofed to the satisfaction of the Fire Department. The use, storage and display of flammable liquids or gas must be approved by the Fire Marshal in writing and open flames or smoke-emitting materials are prohibited.

LIABILITIES
The exhibitor agrees that Show Management, its agents and employees and the hosting facility or its employees will not be responsible for any damage to or for the loss or destruction of the Exhibitor’s property or injuries to the Exhibitor, his representatives, agents or employees, all claims for such loss, damage, destruction exempted from or indemnified for any claims for injury to any of the exhibitors representatives or employees.

FORCE MAJEURE
Neither party shall be liable in damages or have the right to terminate this agreement for any delay or default in performing hereunder if such delay or default is caused by conditions beyond its control including, but not limited to, Acts of God, Government restrictions, wars, or any other cause beyond the reasonable control of the party whole performance is affected.

BOOTH PAYMENT & CANCELATION POLICY
The total balance is due with signed registration form. If an exhibitor wishes to cancel all or part of the exhibit space, this can only be accepted in writing. If cancelation occurs before June 15, 2024, 50% of booth price will be refunded. If cancelation occurs after June 15, 2024, 50% of booth price will be refunded ONLY if booth space is re-sold.

You will be supplied a table and two chairs.  The facility is fully carpeted.  Please advise if you need electricity.
